Event planning and organization comes with many aspects. Use a planning checklist to determine and fulfill the Who, What, Where, When and Why of your event. Logistics is key to event planning. Visualize your event. Get a picture in your mind of what you want and let that guide you. For a sample checklist go to Wild Apricot and look at their recommendations
Where is critical. Are you inside a building with a display booth or outside at a more public venue sharing the space? If you are the only event taking place at your location you will not have to compete with other businesses and this can make it easier, but you still want to make sure attendees remember your company name, products/services and how to contact you. Be sure to have event signs and announcements at every exit and entrance. There are lots of different types of signs you can choose from and some great examples can be found at MegaPrint Inc. Their website describes the different types, and uses for signs. They don’t all have to say the same thing or be the same size. Check out their samples on their website here..
Take into consideration the size of venue and the number of guests you expect. Place signs in areas that will get the most visibility. You can also consider permanent signs that can be used for multiple events, such as banners or sandwich boards that contain your business name and contact information and a brief description of your offerings such as “Mary’s Bakery – The Freshest Breads, Cakes and Pastries for any occasion” with the address and phone number. You can tailor your signs to direct customers to sales people, free samples, information or demonstrations. If you are having an event booth at a trade show, you will want eye catching signs to bring people to your displays.
The location of your booth can be critical to the amount of traffic you may get depending on the size of the venue. If you are stuck in the middle of an area, place signs strategically to direct them to your booth. You can even assign people to direct visitors to your location. Be sure to have plenty of advertising material to give away. This is a good time to use give away items such as magnets, pens and pencils, notepads, coffee cups, candy or mints with your logo or something specific to your business that is a constant reminder of your company. This can be very cost effective and purchased in bulk can be used for a multitude of presentations. Walk through your event space and look for the best locations for signs. Use areas that have been designed for displays and keep it visible as people walk through the area. Signs placed too high will not grab the attention of visitors. Most attendees are looking around for signs to direct them to the area they want to visit.
If you have reusable vinyl banners, they can be used for many events and easily transported and displayed. Always check with your venue manager to make sure where signs are allowed to be displayed and have the tools and materials and personnel to properly and safely display them. Plan your space to take advantage of the best locations to attract the highest number of guests.
Have fun planning your event and make the most of this business opportunity with the right signs and advertising.
